Price Books are used to assign customer specific pricing during order entry. You can assign a price book to a customer and all orders created for the customer will use the pricing rules assigned in the price books. An example of a price books is “30% higher than cost” or “10% less than retail”. You may also have a price book for customers that have special service pricing, different than your standard service prices.


**NOTE** Price Books take precedence and drives the price on the order.

Create a price book for a percentage markup over cost

1. In the Utilities module, click Utilities.
2. Select Price Book Editor and click Run It.
3. The Price Book Editor will display. Click New.
4. Type the name in the Price Book field.
5. Select Fixed %.
6. In Percentage, type the percentage.
7. Select Higher.
8. In Based on, select Cost.
9. Click Save.

Price Book for specific prices on inventory or service items

1. In the Utilities module, click Utilities.
2. Select Price Book Editor and click Run It.
3. The Price Book Editor will display. Click New.
4. Type the name in the Price Book field.
5. Click Save.
6. Click Add From Inventory to add inventory items to the price book.
7. Select the inventory items you want to add to the price book.
8. Enter the special price book price in the Price column (circled in image below).
9. Click Add From Services to add service items to the price book.
10. Select the service and back in the Price Book Editor, edit the price in the Price column.
11. Continue adding from inventory items and services items until you are finished.
12. Click OK at the bottom of the Price Book Editor.

Assign Price Book to Customers

1. Go to Customers module > Customers.
2. Open a customer record.
3. Select the Rates tab.
4. Locate the Price Book field and select the price book you want to assign to the customer.
5. Click Save.

6. Click Actions > New Service Order.
7. In the order, select the Order Items tab.
8. Click New Material or New Service to select item that is on the price book.
9. In the Add Items to Order window, notice two things (circled in image below):
a. Locate the Price Book field (1). You should see that field auto-populated with the price book assigned to the customer.
b. Notice the price in the Price field (2). This price is calculated based off the rules setup in the price book. You can see the price change if you select a different price book.

Price Books Commissions

You can set commission rates on an item by item basis by using Price Books.

The Price Book below has two items on it. Each item has a commission percentage or flat rate commission assigned.

When adding an item to the order or proposal with the Price Book selected, the commission tab is filled out based on the commission defined in the Price Book.

The Totals tab will show the Commission totals for the order or proposal.

Users that do not have permission to view commissions won’t see the commission tab or the commission totals. Permission is set in the User Group > Administrative Clearances tab > Commissions.


Setup PriceBooks with Commissions
1. Go to Utilities module > Utilities.
2. Select Price Book Editor and click Run It.
3. Click New.
4. Enter a name in the Price Book field.
5. Click Add From Inventory, Add from Service, or Add Labor to select the specific material, service or labor.

6. Once the item is added to the Price Book, it will be listed on the grid shown below.

7. Locate the commission columns. Enter either the commission percentage or the flat rate commission for each item.
8. Click Save.


Assigning Price Book to items on an order


You can assign a Price Book to a customer - all orders or proposals created for that customer will be assigned to the Price Book and then all items added to the order will be assigned to the Price Book.

You can assign a Price Book to a specific item on an order or proposal - on each individual item you are adding to an order you can assign a Price Book.
