Export data from SME or import data into SME

High 5 Software SME has flexible and extensive ability to import and export any data in comma separated value format files. These types of files, also called csv are easily read or produced by many programs including Microsoft Excel. New in SME7: Import directly from Excel Files! This is a brief document on utilizing the import and export capability of SME.
Export Data
It’s good to first start out using the export capability to see the format of the data that is exported. The export functionality will also show you the detail fields for each table. Follow these steps to export the data from SME:
1) Click on SME Utilities in the Utilities Module
2) Click on Export Data and Click Run it to see the screen below
3) 
4) Select the table that you want to export data from. For example Cust is the customer table.
5) Select the fields you want to export by using the > button. To select all fields select >>.
6) To remove fileds, select the < button to remove one field or select << to remove all fields.
7) Once you have all the fields you want exported, you can rearrange the fields using the Move Up and Move Down buttons.
8) Select the Output directory
9) Select the output filename. Note that the output file name is appended to the output directory, so the output file name should not contain any special characters like colon : designating a directory as this is entered in the output directory field.
10) NOTE: It is recommended to provide an extension of .csv so this file is easily opened in excel.
11) Once everything is setup, press the start button.
12) Look at the file to see if everything is the way you want. If so, you may want to save a template to easily export the same information in the future.
Import Data
WARNING: Importing data into SME will import all the data as specified. If you import bad data, it will be difficult to delete the bad data through SME. If you accidentally import bad data, please contact technical support to help purge out the data with their special database tools.
WARNING: You should test the import on a test company data file and check the data before importing into your live company data.
WARNING: All SME data should be backed up prior to import into live company data.
The import capability is very powerful so it’s important to heed the above warnings to have a successful import of data. Please contact technical support to guide you through the process on your live company data. Follow these steps to import data into SME:
1) Click on SME Utilities in the Utilities Module
2) Click on Import Data and Click Run it
3) Select the source filename that you want to import by clicking “…” to find the file. Note: Make sure the file is not in use by another program or you will get an error.
4) Note: By default it’s looking for excel files, if you want to import a csv file select the file type in the bottom right corner of the file selection.
5) New in SME7: SME7 now adds the ability to import Excel files as well as csv files!
6) Once the file is selected, all the fields available in the file are shown in the View Data tab.
7) Select a destination table. This will show all the fields available in the destination table.
8) Create the Field Mappings by selecting the Field Mappings tab:
a. Select “Do Not Import” if you do not want to import this field into SME
b. Select “Attempt Match” to try to match this field to existing data in SME.
c. If the fields to import are not correct in the “Copy to Field”, then select the correct field to import into SME.
d. For example, in the example below, the Contact field will not be imported and the Phone field is changed from importing to Phone to importing to BillPhone (billing customer phone number).

9) TIP: Once you have everything setup you can save the import as a template in case you want to import a similar file again.
10) WARNING AGAIN: Make sure you have tested the import on a blank company file before running on live company data and make sure your run a backup prior to live import.
11) Click Start to import all the data from your import file to the SME table.
12) NOTE: The database uses a field called UID to provide a unique identifier for each record. If no UID is provided in the import function, all records will be imported with no check for duplicate records.
